States continue to introduce security legislation to help protect consumer privacy. ZixCorp’s Email Encryption Service has built-in lexicons that automatically detect and encrypt messages that contain personally identifiable information. The Federal Financial Institutions Examination Council (FFIEC) recognizes the importance of protecting sensitive information. It states that “Financial institutions should deploy encryption to mitigate the risk of disclosure or alteration of sensitive information in storage and transit.” (FFIEC Information Security Handbook, December 2002), and that “Management should consider using encryption technology to secure data transmission.” (FFIEC Operations Handbook, June 2004) What you do to protect the confidentiality and integrity of information assets, and monitoring for and detecting unauthorized access to the information is a federal mandate. The DataComm / Zix Partnership

Our clients have been asking when DataComm would begin offering a solution for Email Encryption. In early 2008 we began our search for the best solution to offer our more than 400 financial institution clients. We settled on a myriad of solutions from Zix Corporation to help us help our clients insure that their sensitive Email communication is safe and secure. We wanted to find something that doesn’t place the decision to “encrypt or not encrypt” into the hands of your employees - - rather an Email Encryption solution that is seamless to your end-users, customers, and business partners. With this in mind, DataComm signed a partnership agreement with Zix to become a Zix Managed Service Provider (Zix MSP). There are fewer than one dozen Zix MSPs nationwide today. DataComm is the only active Zix MSP in Florida.

As a Zix MSP we have implemented systems in our secure NOC facilities that allow our customers to outsource their Email Encryption requirements to and through DataComm at fixed per user annual rates that save you money when compared to implementing these systems and technologies on your network. Most of our clients have less than 150 users - - making securEMAIL affordable. We offer alternative and in-house solutions for our larger clients.

Solution

In the “good old days”, financial service providers used the postal service to communicate with customers. Other communications between employees and customers took place over the telephone or in person. A bank, for example, would use its customer records to address and envelope and then stamp and seal it. Once mailed, the bank placed its trust in the delivery mechanisms to maintain the confidentiality of the information sent. Along with these traditional communication mechanisms, the bank also generally trusted employees to keep all non-public information private.

Fast forward to today…. when modern financial service providers use a variety of communication channels to obtain, use, and transmit customer information, and to collaborate with customers, employees, and business partners. Although many still use “traditional” means, banks now use electronic communications such as Email and transactional websites. Bank employees use the same means to communicate with each other and to perform their daily duties which includes sharing non-public and sensitive customer information.

Now more than ever, financial service providers’ reputations are at risk if they are not able to assure customers that they can keep their information safe and secure, and that they have effective physical, administrative, and technical safeguards in place to monitor and control any unauthorized attempts to access that information. In a business where maintaining the customer’s trust is vital, tools and controls that ensure security of sensitive information are essential. DataComm’s new securEMAIL Encryption Service provides a proven trust model for secure Email communication. securEMAIL is a policy-driven, enterprise-wide solution that provides easy-to-use, easy-to-deploy Email Encryption, content filtering, and management of outbound (and inbound) messages. Our securEMAIL service includes a Personal Financial Content Recognition lexicon that identifies Email messages containing GLBA-mandated customer financial information include Social Security Numbers, Credit Card Numbers, Account Numbers, Balance Transfers, Refinance Data, and other personal financial details. The solution can be configured to block or encrypt these sensitive Emails according to your specific policies. Our solution takes little time to deploy and requires little to no administration on your part. securEMAIL operates independently of existing Email systems and is transparent to end users. Secure messages can be sent to ANYONE with an Email address, whether they use Zix or not.

DataComm’s securEMAIL User Awareness Program (provided with any version of our add-on securEMAIL ZixPort options) provides organizations with the tools you need to communicate Email security decisions and policies to customers, employees, and business partners. The program provides materials to educate and motivate employees to use secure Email to its fullest and to explain the benefits of secure e-messaging to your customers. The User Awareness Program helps make understanding encryption easy and economical with co-branded Web Sites, quick start guides, and internal policy letters to help you “spread the word”.

Optional Considerations

Beyond our basic Email Encryption solution that allows you to send safe and secure Email to anyone, you can enhance your securEMAIL experience and presentation to your end-users, customers and business partners with our optional securEMAIL ZixPort Secure Messaging Portal options. ZixPort comes in two flavors – COMPOSE, and NON-COMPOSE. When an encrypted Email is delivered via ZixPort, the user receives a notification email that links to the secure message portal. After logging in, the user can view their message and any attachments over a secure SSL connection.

securEMAIL ZixPort is branded to match the look and feel of your corporate website and configured to meet your communications needs. It lets anyone securely read and reply to encrypted emails you send. With the COMPOSE option you can setup two-way communications with customers, board members, business partners, and others. With the COMPOSE option, your customers can initiate an encrypted Email conversation with you via your website. You can add a “Contact Us” button on your site that allows them to securely contact you even if they don’t have email encryption capabilities themselves. A great feature when dealing with your loan opportunities or large personal or commercial clients.

Many users choose to read their Emails from Blackberry® or Windows Mobile Devices. With the securEMAIL ZixPort options, you can send confidential information and be sure that your customer can read and reply securely, no matter what they are using. It is designed to provide mobile users with a simple interface that can be accessed via the device’s browser. There is no software to install and nothing to configure.

securEMAIL ZixPort is easy to setup and maintain. Because it’s a hosted solution… managed and maintained by Zix. Your customer ZixPort resides in the Zix Data Center and has 99.99% availability guaranteed through our SLAs. Both the DataComm and Zix Data Centers are SAS 70 Type II Certified.

Investment and Implementation

The best thing about securEMAIL is that it’s simple to get started. You simply decide how many Email users you have. Our pricing is based on a per user / per year model with a small one-time setup fee based on the number of users you have. When we’ve agreed on the solution with any options, we simply schedule your implementation. All services are provided remotely. You don’t have to add hardware or software, and you don’t have to pay for us to come to you to set it up. The setup will involve your security team or security / firewall service provider in order for us to “connect to you”. Once connected we setup your solution on both ends, customize your Email security policies, and we’re done. You can start using securEMAIL in as little as one day. Our implementation team will work with you to coordinate deployment and any option considerations for ZixPort with the User Awareness Program, and training.
